What can I use Groups for?

Anything! You can set-up groups for classes, year levels, houses, campuses, sports teams, music groups, after school care and other extra-curricular activities, profile information, medical conditions, etc.

You can arrange sub-groups within groups, for example:
Sports > Basketball > Under 12s > Team B.

Managing Groups is now as easy as Drag-and-Drop. See how easy and intuitive it is to add Students to a Group, add Groups to an eForm (eg. to send the eForm to all parents of students in the group), and assign Staff into Groups and eForms. It’s so easy to get things done.

Smart Groups

SMART GROUPS

Use the data you already have to organise students and staff into groups. Smart Groups are automatically kept up-to-date based on filtered criteria. Students and staff are automatically added or removed from a Smart Group meaning you can ‘set and forget’ your group knowing that as data changes the members of the group will change (eg. All students with Asthma).

FILTER BY PERSONAL INFORMATION
Filter by gender, age, risk levels of medical conditions.

FILTER BY eFORM RESPONSES
Filter based on responses to any eForms or eForm questions that have been answered. eg. If they responded with ‘A’ add them to the ‘A’ Group automatically.

FILTER BY MANUAL TAGS
Tag students with additional information (e.g. house captain, boarding student, etc) which can then be used to create a Smart Group and via the Search function.

Smart Forms

AUTOMATE FORM DISTRIBUTION & COLLECTION

Just like Smart Groups, Smart Forms are sent automatically based on filtered criteria meaning you can ‘set and forget’ certain forms knowing that the form will be sent automatically as per the criteria. E.g. Always send new staff your policies (to have them read, sign and agree to the policies).

You can automatically send forms to parents too. For example, if a student with a high-risk medical condition is attending a certain school trip, automatically send the parent a ‘fitness to participate’ form (parents without a high-risk student are not sent the form).

Change Notification

Receive pro-active notifications when parents make changes to student emergency contacts, medical conditions, medications or their own contact details.

CareMonkey Group Reports

REPORTS

Just pick a Group or an eForm, and run reports for students, medical conditions, responses to forms, excursions, injuries, missing information, and more. Important information such as medical conditions are visible when staff are accessing the groups of students they are responsible for too, ensuring they are well prepared.

CareMonkey Archives

ARCHIVING

Over time students and staff change groups, they leave the school, and older forms are no longer active. Your secure CareMonkey archive allows you to view archived students, groups and eForms, including every time-stamped version of the medical data parents have provided for their students. This older information is filed away in case you need it later or for compliance purposes.
